The Sunday night export
You open Follow Up Boss Reports. You export appointments. You export closed deals. You paste both into Google Sheets, VLOOKUP the agent name, and color the zeros red. By Monday at 9, two showings already happened that are not on the sheet.
That ritual exists because FUB will not put those two exports on one roster. Smart Lists filter people. Reports total events. Neither is a production scoreboard.
What FUB reports actually give you
Follow Up Boss is honest about activity: calls logged, texts sent, appointments created, deals by stage. Useful for a lead-manager. Incomplete for a team lead who has to say, out loud, why last week's appointments did not become this month's closings.
- Stage counts are not conversion."12 under contract" does not tell you which of those 12 had an appointment in the last 14 days, or which have no expected close date in FUB.
- Call volume is not conversations.A FUB call log includes the one-ring. A sheet that sums "calls" rewards the dialer. Prducer only counts a conversation when the call is answered and lasts 60 seconds, or when an inbound text or email gets a reply.
- Custom stages break columns.Rename "Pending" to "ATC" and last quarter's sheet is a different schema. Prducer maps raw FUB stages into a fixed reporting set so the row meaning does not drift.
The join the sheet is trying to make
Appointments (FUB events) on one axis. Closings (FUB deals with a closed stage and an actual close date) on the other. Per agent. For the week and the month. That is team production. Everything else is decoration.
What still falls out of the paste
A weekly tracker is a snapshot. Follow Up Boss is a feed. The gap shows up in the same places every Monday:
- Agents who look fine on last Sunday's export and have had zero appointments since.
- Contracts sitting in a FUB stage with no expected close date, so they never land in "closing this week."
- Inbound texts that never got a response, counted as "touched" if the sheet only sums outbound.
- Listings that are buyer-side deals mapped into a seller stage, inflating inventory if you count raw stage name.
Prducer flags those from the live FUB objects. You do not discover them when someone asks "what about the Smith file?" in the meeting.
