FUB is the system of record. It is not the Monday meeting.
Follow Up Boss is where leads get assigned, texts go out, and deals sit in a pipeline. That is the right CRM job. The team-lead job is different: look at the roster and know, before the meeting, who had appointments last week and who actually closed.
FUB's own Reports tab and Smart Lists count events. They do not join this week's appointments to this month's closings on one agent row. That join is why people still export a CSV on Sunday night.
Why the weekly sheet still misses appointments vs closings
What Prducer reads from Follow Up Boss
Paste an API key. Prducer pulls people, deals, events, and appointments, then keeps them current from FUB webhooks and a scheduled reconcile. You do not retype stages. You do not maintain a second pipeline.
- Raw FUB stages, mapped once.Your team's "ATC" or "Pending" is not another team's "Pending." Prducer maps those labels into reporting stages: listed, under contract, pending closing, closed, lost.
- Appointments as appointments. Calendar events in FUB stay a separate counter from calls and texts. The scoreboard does not treat a logged call as a showing.
- Conversations, not dials. A call counts only when it is answered and lasts at least 60 seconds. An inbound text or email counts when there is a reply. One-ring attempts stay off the board.
- Close dates from the deal record. Missing expected close dates in FUB show up as hygiene items, not as silent blanks in a sheet.
Read-only unless you say otherwise
New teams stay read-only. Prducer does not write action plans back into Follow Up Boss unless you turn on stage automation. The CRM stays yours.
The scoreboard a FUB team lead actually uses
Each agent row is built from the same FUB objects you already trust: appointments this week, conversations as defined above, active listings, contracts, and closings. Sort it in the meeting. Click a row when someone looks dark.
Actions come off that same feed. Zero activity in the last 7 days. No appointments. A contract with no close date in FUB. Deals expected to close this week. You do not rebuild that list from a Smart List plus a gut check.
Solo covers up to 5 agents: enough for a producing team lead and the people they still have to coach. Larger rosters move to Team or Brokerage on pricing.
Setup is an API key, not a data project
If the team already runs Follow Up Boss, you do not migrate contacts. You paste the key, map stages, and set an annual closing goal so pace is not a guess. Historical deals sync the same day. After that, webhooks keep the scoreboard honest.
Lofty, kvCORE, or a generic "CRM dashboard" pitch does not apply here. This page is only useful if your source of truth is Follow Up Boss.
