π Getting Started
How do I connect Follow Up Boss?βΌ
Go to Settings β Integrations. In Follow Up Boss, navigate to Admin β API β Create API Key. Name it "Prducer", copy the key, and paste it into your Prducer settings. Your data will begin syncing within a few minutes.
How long does the first sync take?βΌ
The initial sync typically takes 5β15 minutes depending on how much data is in your FUB account. You'll see a syncing banner on your dashboard. Once agents appear in your scoreboard, you're ready to go.
What data does Prducer pull from Follow Up Boss?βΌ
Prducer pulls deals (pipeline, stage, close date, GCI), activities (calls, appointments, conversations), agents, and leads. It does NOT write any data back to FUB β it's read-only.
Do my agents need to create accounts?βΌ
No. Your agents' data syncs automatically from FUB. Agents can optionally log in to see their own personal dashboard and scoreboard. You control what each role can see.
What's the difference between admin and agent roles?βΌ
Admins see everything: team financials, net-to-team, all agents. Agents see only their own data. You can invite agents via Settings β Team Members.
β‘ Action Plan
What is the Weekly Action Plan?βΌ
Every Monday morning, Prducer analyzes your team's data and generates a prioritized list of actions: which agents to coach, which deals to push, and whether you're on pace for the month. It's not a report β it's a to-do list.
How is the action plan generated?βΌ
The plan is generated based on: (1) agents with zero activity in the last 7 days, (2) deals closing this week that need paperwork attention, (3) your team's gap vs monthly goal, (4) pipeline health and at-risk deals.
When does the action plan email arrive?βΌ
The action plan email is sent every Monday at 8am ET. You can also view the live action plan at any time from the dashboard or the Action Plan page.
How do I set my monthly/annual goal so the plan is accurate?βΌ
Go to Goals β Set your annual closing target. Prducer will calculate your required monthly pace, project whether you're on track, and surface the gap in your action plan.
π Scoreboard & Rankings
How is the Performance Score calculated?βΌ
Score = (Convs Γ 1) + (Appts Γ 5) + (Listings Γ 8) + (Contracts Γ 15) + (Closings Γ 40). The raw score is then normalized: the top agent on the team gets 100, everyone else is ranked relative to them. A score of 70 this week β 70 last week β it's always relative.
What counts as a "conversation"?βΌ
A conversation is a call of 60+ seconds or a booked appointment in Follow Up Boss. Prducer uses FUB's is_conversation flag to count these accurately.
Why does an agent show "No activity this week"?βΌ
This means zero conversations, appointments, contracts, and closings were recorded for that agent in the current week (Monβtoday). Check that their FUB activities are being logged correctly.
What does the CHECK DATA badge mean?βΌ
A yellow CHECK DATA badge appears when an agent has zero activity across all categories. This typically means their FUB data isn't syncing β verify their name matches exactly in FUB, or contact support.
What time period does the scoreboard cover?βΌ
The scoreboard shows the current week (Monday through today). On Sundays, it shows the just-completed week (last MonβSat). For historical data, visit the Team page and filter by date range.
π° Commission & Cap
How does cap tracking work?βΌ
Prducer tracks each agent's YTD eXp cap payments based on their closed deals. Once an agent crosses their cap threshold ($16K standard or custom amount), their future deals are marked as post-cap. You can see cap progress on the scoreboard and financial dashboard.
How is net-to-team calculated?βΌ
Net to team = Gross GCI β agent split β referral fees. Prducer applies each agent's team split percentage and any referral source fees configured in Settings. Cap-aware: post-cap deals use the correct post-cap split.
Can I customize team split percentages per agent?βΌ
Yes. Go to Settings β Agents and set each agent's team split %. These are used in all commission calculations across the dashboard, pipeline, and financial pages.
Where do I set referral fees by source?βΌ
Go to Settings β Referral Fees. You can configure a fee percentage for any lead source (e.g., Zillow = 35%). Prducer applies this automatically when calculating net-to-team for deals from those sources.
π― Team Meeting Mode
What is Team Meeting Mode?βΌ
Meeting Mode is a distraction-free view designed to run your weekly team meeting. It shows the scoreboard, pipeline snapshot, and action items in a clean, presentation-friendly layout. Access it from the dashboard via the "Team Meeting" button.
How do I run a 12-minute team meeting with Prducer?βΌ
1) Open Meeting Mode. 2) Review the scoreboard (2 min) β celebrate top performers, flag coaching needs. 3) Pipeline snapshot (3 min) β deals closing this week, at-risk deals. 4) Action plan (5 min) β walk through priority actions. 5) Close with team target. Total: 12 min.
Can I hide certain agents from the meeting view?βΌ
Yes. Go to Settings β Agents β click on an agent β toggle "Hide from Dashboard". Hidden agents won't appear in the scoreboard or meeting view.
π§ Troubleshooting
My agents show zero activity β what's wrong?βΌ
Check: (1) Is your FUB API key still valid? (Settings β Integrations). (2) Are activities being logged in FUB? Open FUB and verify calls/appointments are being tracked. (3) Are agent names matching exactly? FUB name changes can break the link.
My deal numbers look wrong β how do I fix it?βΌ
Prducer reflects what's in FUB. If a deal shows wrong GCI or close date, update it in FUB β the next sync (every 5 minutes) will pull the correction. If a deal is missing entirely, check its stage in FUB (only active/closed stages sync).
The sync hasn't updated in a while β what do I do?βΌ
Go to Settings and click "Force Sync Now". If the issue persists, check that your FUB API key is still active (FUB β Admin β API). Keys can expire or be rotated.
I'm not receiving the Monday action plan email.βΌ
Check: (1) Is your notification email set in Settings β Profile? (2) Check your spam folder. (3) Make sure your subscription is active. If still missing, contact support.
